Full Job Description
The purpose of this role is to work hand in hand with the Operations Manager of Salesforce Consulting & Application Solutions performing tasks and services to support effective and efficient business operations.
The Salesforce Operations Specialist has these primary areas of responsibility:
Facilitate Vendor Relationships
Assist with onboarding vendors and maintain accurate and up-to-date files, contracts, records, and documentation
Assist with communication and facilitate payment of vendors, which may include verification of federal ID numbers and resolving discrepancies
Assist with communication to Accounting department with onboarding and offboarding vendors
Assist with W2 & 1099 time-entry verification – Weekly and Monthly
Assist with billable, non-billable, no cost, sales engineering hours review and verification
Assist with time entry reconciliation Vendor Time Tracking systems
Assist with Purchase Order Management for all Salesforce Clients
Assist with bi-monthly & monthly reconciliation of contractor’s time against invoices and billing milestone approval process
Assist with monthly verification of expense reports and approval process
Review and approve all invoices in Ascend invoice system for payment
Assist with preparing and providing invoice detail logs to clients
Assist with design, implementation and ongoing management of operations processes and policies (i.e billing milestones, monthly reporting, reconciliation, project set-up)
Assist with managing vendor insurance expiration (GL & WC)
Assist with all Project set-up for Salesforce (Managed Services, Renewal Contracts, Professional Services, .NET) and communication with Operations Assistant for resource assignment
Assist with monthly Salesforce data management processes
Assist with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations
MINIMUM SKILLS AND EXPERIENCE:
Associate Degree in Accounting or equivalent years of professional experience in a relevant field
Prior related office experience
Prior Salesforce experience is beneficial
Exemplify strong attention to detail and organizational skills
Excellent verbal and written communication skills
Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy
Proficient with Microsoft Office Suite and Excel
